Terms and conditions for “Snap Your Town” online competition

A. The promoter of the competition and the competition:

  1. The promoter of ‘Snap Your Town’ competition (“the competition”) is I4YPC (Innit for Young People CIO – a charity registered in England and Wales No. 1182891), The Angel, St. Philips Place, Chapel Street, Salford, M3 6FA (“the charity”)
  2. The charity is inviting young people aged 11 to 19, to submit a piece of their creative expression in the form of a photograph (“the photo”) Further guidance in respect of the competition can be found online at https://snapyourtown.uk

B. How to enter:

  1. The competition will run from Monday 18th October 2021 (“the opening date”) to midnight on Sunday 7th November 2021 (“the closing date”) inclusive.
  2. All competition entries must be received by the charity by no later than 23:59 on the closing date. All competition entries received after the closing date are automatically disqualified.
  3. To enter the competition:
  4. Submit your entry via the official competition website – https://snapyourtown.uk
  5. Agree to the Terms and Conditions on the official competition website – https://snapyourtown.uk by ticking the box with your submission.
  6. By submitting an entry to the competition, you are agreeing to be bound by these Terms and Conditions.
  7. Competition entries will be catalogued and viewed by representatives of the charity.
  8. Competition entries will be shortlisted by representatives of the charity and submitted to the judging panel, which will consist of:
  9. Designated staff of the charity
  10. Representatives of the charity’s sponsors – Dataspire
  11. Young people associated with the charity
  12. Professional photographers
  13. Academics

The charity reserves the right to amend the competition’s sponsorship and/or members of the judging panel, as the charity deems appropriate.

  1. By submitting an entry to the competition, you accept that the decision of the judges as to the winner of the competition will be final and that no correspondence or discussion will be entered in to with respect to this decision.
  2. If you are under the age of 16 and your entry is chosen as the winner of the competition, you accept that written consent from a parent/guardian will be required for you to accept the competition’s prize from the charity. Consent forms will be provided by the charity for parents/guardians to sign. (consent form here)

C. Eligibility

  1. The competition is open to any young person aged 11 – 19 who is permanently resident in England, with an English postcode.
  2. By entering the competition, you confirm that you are eligible to do so and are eligible to claim any prize you may win.
  3. The charity may require you to provide proof of eligibility to enter the competition.
  4. There is no limitation on the amount of entries that you may submit.
  5. All entries that you submit to the competition must be entirely your own, original work and not contain any reproduction/copying of any other/existing works.
  6. You can withdraw your entry/entries to the competition, provided that such withdrawal takes place prior to 23:59 on the closing date.

To withdraw your entry/entries, you must email admin@i4ypc.org.uk requesting that your work is withdrawn from the competition.

D. The Prize

  1. The winning entrant of the competition will receive at least:
  2. Nikon D3500 Digital SLR Camera with 18-55mm AF-P VR Lens

E. Winner Announcement

  1. The charity will contact the winning entrant personally, as soon as practicable and by no later than 29th November 2021.
    The charity will use the contact details provided with the submission of the competition entry.
    Once you have submitted your entry, the charity will not be able to amend the contact details that you have provided.
  2. An announcement of the winning entry will be made by the charity and the competition’s sponsors, via digital and social media channels, at a date to be advised to the winning entrant (“the announcement date”)
    The announcement will be made no later than Monday 6th December 2021.

F. Data Protection and Publicity

  1. By entering the competition, you agree that any personal information (“data”) provided by you will be collected, held and used by the charity, to administer the competition.
    This information helps the charity to identify you during the course of the competition, to evaluate and understand the charity’s demographics (which type of young people are engaging with the competition, where they’re located and in which age band – which helps the charity to understand the type of young people that are engaging with the charity and helps the charity to obtain funding for further projects).
    Following completion of the competition, the collected data will be anonymised and your personal data will be removed and carefully disposed of from the charity’s secure server.
  2. You may specify that you wish for the charity to retain your contact details in order to be contacted in future by the charity.
  3. You may remove this permission at any time by emailing admin@i4ypc.org.uk
  4. The charity will not pass on any of your personal information to any third parties without your prior consent, or the consent of a parent/guardian where appropriate.
  5. If you are the winning entrant to the competition, the charity may contact you and work with you to prepare a press release.
  6. If you are the winning entrant to the competition, you agree to participate in any reasonable publicity required by the charity.
  7. The charity has a policy of not publicly identifying any person under the age of 16 without the written consent of their parent/guardian.
    Further to this, the charity will require a signed photography/video consent form (click here) from a parent/guardian, if the entry consists of any photography or videography that contains the image of an entrant under the age of 16.
    This will only be appropriate if the charity wishes to use any such materials submitted (for example – if your photograph is the winning entry to the competition, or if your photograph is deemed suitable for publication as a none-winning entry).
  8. You have the right to see any information that the charity holds about you. You can request this at any time as per clause F9, directly below:

G. Ownership of competition entries and Intellectual property rights:

  1. By entering the competition, you:
  2. undertake that all of the materials that you enter in to the competition are your original work and that you hold all moral and intellectual property rights in any of the work that you submit – (that you haven’t copied anything)
  3. warrant that you are the sole copyright owner of all materials and/or work that you enter in to the competition – (that you haven’t copied anything)
  4. warrant that your entry does not infringe the intellectual property rights of any other person – (that you haven’t copied anything)
  5. Except in relation to your intellectual property rights (that you’ll always own the rights to your original material), all competition entries and any accompanying materials submitted to the charity will become property of the charity on receipt and will not be returned. (Once you’ve submitted your work, we can’t return it to you as it will have been submitted via an encrypted server and automatically downloaded by the charity)
    This doesn’t affect your right to withdraw your entry/entries from the competition before 23:59 on the closing date.
  6. By submitting your competition entry, you are agreeing that the charity may make your entry available on its website or any other digital or paper medium (such as the press, magazines, social media, websites), whether now known or created in the future, and in connection with any publicity associated with the competition.
  7. By submitting your entry to the competition (the photo) and/or any accompanying materials (the photo), you agree that:

You will licence your intellectual property (your original work) to the charity in respect of the photo, on a royalty-free basis, for a period not exceeding two years and that in doing so, you waive all your moral rights to your work which you would otherwise be entitled to under the Copyright, Designs and Patent Act 1988. (You agree to let the charity reproduce, publicise and promote your work without making any claim(s) for payment (or commercial gain in any form) from the charity for doing so, other than the prize you receive, if you are the winning entrant).
    You further agree that the charity may sub-license the photo under the terms of this agreement, for use by the charity’s sponsors, who may wish to use the photo for the purposes of promoting their sponsorship of the charity and/or the competition.
  9. You agree to sign the charity’s Artist Release Form , or agree that a parent/guardian will sign, if you are under the age of 16.
  10. You agree that the charity may (but is not required to) publicise and promote you and/or your competition entry (the photo) on the charity’s website, social media channels or any other medium the charity deems appropriate and subject to parent/guardian approval if you are under the age of 16.

H. Limitation of Liability rights:

  1. The charity will not accept
  2. Responsibility for competition entries that are lost, mislaid, damaged or delayed in transit, regardless of cause, including, for example, as a result of any technical or equipment failure or malfunction, systems, satellite, network, server, computer, hardware or software failure of any kind.
  3. Proof of submission of entry to the competition as proof of receipt of entry to the competition. (For example: a screenshot displaying ‘entry submitted’ will not be sufficient proof of entry)
  4. In so far as is permitted by law, the charity, its agents and/or sponsors will not in any circumstances be responsible or liable to compensate the winner or accept any liability for loss, damage, personal injury or death occurring as a result of taking up the prize, except where it is caused by negligence of the charity, its agents and/or sponsors, or that of their employees. Your statutory rights are not affected.
    (For example: If the camera malfunctioned and caused injury, then so long as the camera was purchased in good faith and brand new, the charity would not be liable).
  5. General
  6. If there is any reason to believe that there has been a breach of these Terms and Conditions, the charity may, at its sole discretion, exclude you from participating in the competition.
  7. The charity reserves the right to cancel, modify or supersede the competition at any time if, in its sole discretion, the competition is not capable of being conducted as specified.
  8. The charity reserves the right to withdraw the competition prize, if less than 50 entries are made to the competition, or if the competition is not capable of being conducted as specified.
  9. The competition and these Terms and Conditions shall, in all respects, be governed by and construed in accordance with English Law and the parties hereby submit to the jurisdiction of the courts of England and Wales.
  10. If you are under 16 years of age, the charity will require written consent from a parent/guardian to make your identity known on any public platform or arena.
